Your ability to foresee challenges and prepare solutions isn’t just helpful—it’s transformative. Executives value assistants who think proactively because it saves time, reduces stress, and ensures better decision-making.

Education: Practical “How to” advice or insights:

1. . Master Contextual Foresight:

Develop the habit of asking yourself, “What’s next?” for every meeting, project, or initiative. Understand the ripple effects of decisions made today on future objectives. For example, if a key meeting is scheduled with a client, anticipate follow-up needs such as data summaries, next steps, or additional resources that might be required.

2. Map Stakeholder Dependencies:

Keep a stakeholder map that outlines who your executive interacts with most frequently and their priorities. Understanding these dynamics helps you foresee requests or conflicts. For example, if the CFO is preparing for a quarterly review, ensure your executive has all related materials well in advance.

3. Strategic Questioning to Uncover Insights:

During weekly check-ins, move beyond the usual agenda by asking, “What’s keeping you up at night?” or “What’s one thing I can take off your plate this week?” These questions often reveal hidden priorities or concerns that aren’t immediately obvious but are crucial to address.

4. Stay Ahead on External Trends:

Regularly review industry updates or macro-level business trends that could affect your organization or your executive’s priorities. For instance, if a competitor announces a new product launch, prepare talking points or impact analyses for your executive before they even ask.

1. Master Your Executive’s Vision: When speaking in meetings or crafting communications, align your input with your executive’s goals. For example, “This initiative aligns with [executive’s vision], and here’s how I see us implementing it.”

2. Use Data-Backed Observations: Data speaks volumes. Whether you’re contributing to a discussion or crafting reports, back your insights with measurable evidence.

3. Choose Your Moments Wisely: Timing is key. Avoid chiming in during tense discussions; instead, wait for moments when your input can bring clarity or a fresh perspective.

Building Strategic Partnerships Across Departments

Your ability to collaborate and build relationships with other teams positions you as a strategic leader within the organization. The stronger your internal network, the more influential your role becomes.

Education: Practical “How to” advice or insights:

1. Host Cross-Departmental Huddles: Organize monthly check-ins with other department admins or leaders to exchange updates, challenges, and resources.

2. Position Yourself as a Resource: Offer assistance or insights to other teams when appropriate. A simple, “Let me know how I can support you with X,” builds goodwill and trust. Side note: be careful not to over extend yourself with this one though. You don’t want to be in a position where projects are dropped on your lap unexpectedly. Maintain boundaries by providing support without removing responsibility of the leader’s execution and ownership.

3. Leverage Internal Communication Platforms: Use tools like Slack or Microsoft Teams to stay connected with colleagues, share updates, and strengthen day-to-day collaborations.
